TASK 2: Questioning

Purpose :You will demonstrate the knowledge and skills required to recognise and apply internal and external requirements related to digital applications, including those related to intellectual property.
Assessment description: You will answer a set of short-answer and scenario-based questions based on internal and external requirements for digital applications, including intellectual property requirements.
All questions must be answered satisfactorily for Task 2 to be completed satisfactorily.
There is no restriction on the length of the question responses. You must complete all questions unassisted by the assessor or other personnel, but may refer to reference material as needed.
Resources required: You may use the learning resource and relevant documents to research information when answering questions.

Purpose: You will demonstrate the knowledge and skills required to identify digital applications and utilise digital workplace information, and to lead work processes in a digital environment.

Subject: Digital information needs
Hello,
BizOps Enterprises is currently reviewing the digital information needs of each department. I would like you, as the assistant manager, to take responsibility to review the digital information needs of your team, including those used for communications and collaboration. This should include those digital applications used, ‘from management to
team, within the team, team-to-team, team to clients and external stakeholders, and including the use of workplace technology and networking’. Refer to the procedures I have outlined in each part below to complete this task.
I would like you to prepare a presentation to explain at least one recommendation for improvement, regarding the internal needs of your team. This should include, operational goals and policies & procedures as well as any external needs (e.g. legislative requirements).

Project description
In response to the email, you will be conducting research into digital applications and trends for use in the workplace and preparing a short presentation, explaining recommendations for improvement. You will write a reflection explaining the process of research you undertook, and how you keep up-to-date with relevant digital trends.
Finally, you will plan the implementation of your digital solution and prepare a training and coaching plan to lead and support your team. You must complete the project unassisted by the assessor or other personnel, but may collaborate with team members and refer to reference material as needed.
All project criteria and instructions outlined for Task 3, must be covered satisfactorily.

Part 1: Identify digital applications and trends

Follow the procedures below and complete all tasks for Part 1.
In this assessment task, you will be preparing a slide presentation as evidence for submission but you will not be expected to deliver the presentation. Use Power Point or other multimedia to adequately propose your digital solution with scripts, notes, charts or graphs.
You must submit:
-a slide presentation on a digital application to a management audience, including notes, slides, etc.
-a written (1 page) reflection on the process of research and strategies for keeping up-todate on trends.
Procedures:

  1. Read the project overview and description carefully.
  2. Conduct research for the presentation using a range of online and print sources. You will need to conduct online research using valid and reliable sources (at least three sources). Keep records of sources for submission to your assessor.
  3. Prepare a slide presentation:
    a. Using the ‘Feedback digital information needs.pdf’ (refer to the ‘resources required section to find this), identify and discuss at least one proposed digital application for communications, technologies and networks for use by your team, for example, new software, social media platform, etc.
    b. sell your solution as part of your presentation: What is the issue or need? Why is your proposed solution the answer to the team’s needs? Refer to BizOps operational plans and objectives, budgeting information, policies and procedures and legislation, as relevant to the organisation.
    c. discuss the proposed creation, storage and retrieval of digital information under your proposed application.
  4. Write a short (one page) reflection on the process you undertook to determine team digital information needs, including reference to:
    d. operational plans and policies
    e. determining validity and reliability of sources (include reference to at least three valid and reliable sources)
    f. relevant processes for storage of the research and presentation for future business use, and
    g. a description of strategies you will use to ensure you keep up to data with digital trends for application in the workplace.
    h. Submit your reflection on Moodle with your assessment within the agreed timeframes.

Your assessor will be looking for the following foundation skills:
-reading skills to source, analyse and interpret information, including technical data, in the context of meeting organisational strategy and compliance requirements
-workplace navigation skills to monitor adherence to organisational policies and legal requirements
-digital workplace skills to conduct online research and investigate new digital technologies and applications to support organisational plans.

Part 2: Lead digital work processes

Follow the procedures below and complete all tasks for Part 2.
In this assessment task, you will be following relevant processes according to BizOps
operational, budgetary and procurement policies and procedures to select services or providers
and integrate your new digital solution into existing operations.
You will be preparing a training or coaching plan to lead and support your team and deliver
training/coaching in a role-play for ‘Observation TASK 4’.
You must submit:
§ planning for the selection and implementation of the chosen digital solution for your
team, using ‘Appendix 1 – Selection and implementation template’.
§ a skills assessment using ‘Appendix 2 – Training/coaching skills assessment template’.
Procedures:

  1. Choose members of the BizOps work team e.g. administration or customer service staff, with which to:
    - conduct a skills assessment on your chosen work team
    - agree on timeframes for completion of this assessment task.
  2. Using BizOps Enterprises policies and procedures (refer to the ‘Required resources’ section on how to find these), plan the selection and implementation of your proposed digital solution.
    Using the template in Appendix 1, you will need to:
    a. plan for the process of identifying features of systems that will be fit for purpose given existing organisational needs and for securing approval
    b. identify strategies for integrating the solution into workplace operations
    c. identify and explain the application of relevant policies and procedures including for the use of digital media by employees and intellectual property protection
    d. plan the needs analysis and training or coaching of team members to ensure the successful implementation of the solution.
  3. Using the template in Appendix 2, you will need to:
    a. Conduct a training or coaching skills assessment on your work team and plan a short training or coaching session in alignment with your implementation planning.
    Your assessor will be looking for evidence of the following foundation skills:
    - writing skills to develop planning in accordance with legal and organisational requirements
    - workplace navigation skills to monitor adherence to organisational policies and legal requirements

digital workplace skills to:
ž evaluate new digital technologies and applications to support organisational plans
ž support the implementation and review of digital technologies through training or coaching.

TASK 4: Observation

Purpose :Your performance will be documented while being observed by an assessor.
Observation Context & instructions: In this observation assessment, you will be participating in a role
play. Your role play will take place in simulated work environment, where you will take the role of assistant manager at BizOps Enterprises and fellow students will represent the members of your work team.
You will be conducting a training or coaching session on the digital tool or technology you chose in Part 1 of the project to support the implementation of your training and coaching plan.
The role play will take approximately 15 minutes.
Before you commence your coaching session, you should explain the purpose of the coaching session to team members in terms of operational success and refer to relevant procedures and legislation.
You will be required to use:
- effective communication skills to listen and explain processes using appropriate vocabulary
- interaction skills to encourage, support and develop understanding
Your assessor will schedule the role play at an agreed time and provide you with clear instructions.
You will be assessed on your performance of the required skills and knowledge according to the observation checklist below.
